When to stop giving diesel on credit to a transporter, and how to do it without a fight

Short answer

A pump should stop new credit to a transporter when payments keep slipping past the agreed period, promises are missed, the balance always sits at the limit, or a cheque has bounced. Decide the rule before the next credit fill, for example stop at 30 days past the due day. Tell him calmly, offer cash fills, and restart after payment with a lower limit.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

Signals, and what to do

This page is for a petrol pump whose regular customers, transporters and fleet owners, take diesel on credit.

SignalWhat to do
Payments keep slipping past the agreed periodSend a reminder the same day. Note the new date. A second slip in a row triggers your rule.
A promise is missed ("I will pay on Friday")Ask for a call. If the second promise fails too, stop new credit.
The balance sits at the limit all the timeDo not raise the limit to keep him filling. Ask for part payment first.
A cheque is returnedTreat it as not paid (reverse the payment if you had recorded it) and stop new credit until the account is cleared. See cheque bounce.
The transporter fills less from you but owes moreAsk what changed. Ask for payment before more credit.

Decide the rule first

Write one rule and use it for every transporter. For example: "New credit stops 30 days after the due day, until the dues are paid." You choose the number. Tell each transporter when you set his limit and days to pay. See how to set a limit.

How to tell the transporter

Say it plainly and kindly. For example (made-up figures): "Namaste Gupta ji. Rs 48,500 has been open since 25 October. Until it is cleared we can fill your trucks for cash only. Once it is paid, we start again. Please call me if you want to talk."

  • Use the same words for everyone.
  • Say when it ends.
  • Offer cash fills, so the relationship goes on.

How Khata Kavach holds the line

  • Freeze. The owner can freeze an account with "Freeze account". As soon as the nozzle phone is online, the transporter shows a red "No credit" light at the nozzle, the nozzle man sees "You can serve for cash", and the transporter's app says no credit will be given. Only the owner can freeze or unfreeze. Khata Kavach never freezes an account on its own.
  • A softer step. Lower the limit, or set the account so that a full limit means "no credit, cash only" instead of "a manager can allow it". If a manager's PIN could allow this transporter a fill with no request, set "With no request" back to "No credit". See over the limit at the nozzle.
  • Find them. The transporters list has "Watch" and "Frozen" filters.

Restarting

When "Record a payment" brings the balance down, unfreeze the account. Restart with a lower limit than before, and watch the next few bills.

Questions people ask

01Udhar band kab kare: after one late payment?

Not always. One slip deserves a reminder. Count repeats in your rule, for example a second missed promise, or a bill 30 days past due.

02How do I stop credit without losing the customer?

Make it about the account, not the person, and keep the door open: cash fills stay available.

03How do I make sure my nozzle men follow the stop?

Freeze the account in Khata Kavach. As soon as the nozzle phone is online, the transporter shows a red "No credit" light and the nozzle man sees "You can serve for cash". A light cannot stop a person filling a tank; it tells him what the owner decided.

04Does stopping credit get my old money back?

No. It only stops the balance growing. The old dues still need the steps in udhar vasuli ke upay.
