Three questions before the truck fills
You set the rules. Your nozzle men apply them in seconds, with a driver waiting, and cannot phone you before every fill.
| Question the nozzle man asks | Why it matters |
|---|---|
| Is this truck allowed credit today? | An account may be on hold, or the truck may not belong to a credit customer. |
| How much is left? | The limit is the most you agreed to be owed. Past it, the risk is yours. |
| Did the transporter ask for it? | Nothing should go on credit that the transporter did not ask for, unless you have chosen to allow it for him. |
If any answer is no, the nozzle man fills for cash or calls the person who may decide. See what to do when a customer is over the limit.
What every credit fill must record
One line per fill, written the same way every time:
- The truck: its number plate.
- The fuel and the litres.
- The rupees.
- Who filled.
- The date and time.
- A slip number or a photo, of the number plate or the slip.
- If a manager allowed it, who.
A line with no truck number, or no litres, settles nothing. For an argument about one fill, see a disputed fill.
What memory, a register and slips record
Each of these works while you stand at the pump for every fill. They strain when nozzle men fill for customers you do not see.
- Memory. The person who knows a customer's balance is not always the person at the nozzle.
- A register. One copy, kept by the pump. It shows what was written, not what the customer already owes at that moment.
- Paper slips. They need no phone and no signal. They show no running total. See paper slips and coupons.
Decide once, let the screen apply it, let both see it
Khata Kavach follows that order. The transporter sends a request from his own phone, one per truck: litres, rupees, or a full tank. At the nozzle, the nozzle man types the last 4 digits of the truck number and sees one light: green "You can fill", amber "Call the manager", or red "No credit". By default, past the limit a manager types a PIN for that one fill. The nozzle man types the litres and rupees off the dispenser and taps Done. Once the phone is online, both sides see the same line, with a photo if added. The owner's Today screen shows credit given today, money received, what is still owed, who is near the limit, and fills that look wrong.
| Person | Decides | In Khata Kavach |
|---|---|---|
| Owner | Each transporter's limit, what happens at the limit or with no request, freezing an account | These are the owner's settings. Managers and nozzle men cannot change them |
| Manager | One fill past the limit, where the owner allows it | Types a PIN on the nozzle man's phone; one PIN allows one fill |
| Nozzle man | Fill on green, fill for cash on red | Types the truck's last 4 digits, sees the light, types the litres and rupees |

Questions people ask
01Who should decide on credit at the nozzle?
The owner decides the rules in advance: each transporter's limit and what happens at the limit. The nozzle man applies them. One named manager, never the nozzle man himself, may allow a fill the rules do not cover.
02Can the nozzle man give credit when the owner is not there?
Yes, inside the owner's rules. In Khata Kavach, the nozzle man fills on credit when the light is green. On amber, such as past the limit, a manager's PIN is needed. With no request, the light is red by default, unless the owner has let a manager's PIN allow a fill for that transporter without one.
03Do nozzle men see the transporter's phone number?
No. Nozzle men never see a transporter's phone number. They see the truck, the light and the credit left.
04What if the pump has no signal?
Khata Kavach works at the nozzle with no signal once the app has been opened with internet. The fill is saved on the phone and sent when the phone is online.
05How do I keep the udhar record at the pump?
Write every fill the same way, in the same place, on the same day. The details above are the minimum.
