Khata app comparison for petrol pumps: paper, ledger apps and Khata Kavach

Short answer

A petrol pump that gives diesel on credit can keep the account in five ways: paper, ledger apps such as Khatabook and OkCredit, billing apps such as Vyapar and myBillBook, petrol pump software, and fuel cards. They differ on who records the fill, whether the transporter sees it, and who carries the credit. Khata Kavach is a shared credit book for petrol pumps: by default the transporter asks before the truck fills, both sides see every fill, and the pump carries its own credit. Which fits depends on what you need. Facts checked on 19 October 2026.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

Where the other tools do more

  • Khatabook and OkCredit have far larger download counts, shown on Google Play on 19 October 2026: 100M+ for Khatabook, 10M+ for OkCredit. Both have iPhone apps and many languages.
  • Vyapar and myBillBook make GST invoices and e-way bills, and keep stock and accounts.
  • Pump software covers the pump back office: GARRUDA lists shifts, nozzle readings and Tally.

Khata Kavach is new and is for petrol pumps only. Its bill is not a GST tax invoice, and it does not track stock.

Where Khata Kavach sits

It has two apps: the Pump app and the Transporter app. By default, the transporter sends a request before each credit fill, one per truck, in litres, in rupees or for a full tank. The nozzle man types the last 4 digits of the truck number and sees a green, amber or red light. By default a manager's PIN is needed past the limit, or the owner can choose cash only. The owner's Today screen lists the fills that look wrong from the last 7 days. A correction is a new line, so both sides see what changed.

The bill is a numbered bill on the pump's letterhead, with a UPI QR once you add your UPI ID, not a GST tax invoice. For the price, call us. Both apps open in the phone's browser today. Android apps are coming to Google Play.

Udhar khata app: how to choose one, in nine questionsChoosing an udhar khata app (udhar ka hisab rakhne wala app) for a petrol pump that gives diesel on credit: nine questions to ask before you install.

Questions people ask

01Which khata app is right for my petrol pump?

GST invoices and accounts point to a billing app. A plain khata for a few credit customers points to a ledger app. Regular transporters who fill diesel on credit point to a shared credit book. You can use two together.

02Which kind of hisab kitab app should I use for udhar?

Start from what you need to see: your own totals, the transporter's view, a limit at the nozzle, or GST bills. Nine questions to ask are on our page on choosing a khata app.

03What is the difference between a ledger app and a shared credit book?

In a ledger app the pump types each entry. Some apps also send the customer a balance by SMS or share a ledger. Khatabook's and OkCredit's pages describe SMS or WhatsApp reminders to the customer, and we did not find a customer app described on their pages. In a shared credit book such as Khata Kavach the transporter has an app of his own, by default asks before the truck fills, and both sides see each line.

04Does Khata Kavach lend money or collect payments?

No. You set the limit for each transporter. Khata Kavach never lends and never holds money. The transporter pays you directly, and you record it.
