Customer over the credit limit at the nozzle: what the nozzle man should do

Short answer

The nozzle man should never decide alone. Name one manager, never the nozzle man himself, who may allow a single fill past the limit. Write down who allowed it, how much over, and why. If the manager says no, fill for cash or ask the transporter to pay something now. The owner then reads every override the same day. By default in Khata Kavach, the amber light asks for the manager's PIN and the owner sees each such fill.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

A rule sheet you can adopt

Decide these five points once, so the nozzle man does not decide in front of a waiting driver.

  1. Who may say yes. Name one manager, or two. Never the nozzle man himself.
  2. How far over. Pick a figure, for example up to Rs 5,000 over the limit. Past it, call the owner.
  3. What gets written down. Who allowed it, how much over, and why.
  4. Cash first. Offer to fill for cash. Or ask the transporter to pay something now, so the balance falls.
  5. Review the same day. The owner reads every fill that went past the limit before the day ends.

For example, a transporter has Rs 2,000 of credit left and the fill comes to Rs 3,500. The fill is Rs 1,500 over, so the nozzle man calls the named manager.

What the nozzle man does in each case

SituationWhat the nozzle man does
Slightly overCall the named manager. The manager allows this one fill or says no. Write down who allowed it and how much over.
Far overOffer cash. Or ask the transporter to pay part now. If he pays, a manager or owner records it and that much credit opens up again. Past your fixed figure, call the owner.
Account on holdNo credit. Fill for cash. The owner lifts a hold.
No request todayBy default there is no credit. Fill for cash, or ask the driver to get the transporter to send a request, then refresh.

How Khata Kavach does it

The phone shows an amber light, "Call the manager", with the reason, and asks the manager to type his PIN to allow this fill. The other choices are to call the owner or to refresh.

After the PIN, the fill form opens. The fill is recorded as allowed by that manager, by name, and marked as over the limit. The owner sees it on the Today screen among the fills that look wrong, which lists marked fills from the last 7 days.

The owner chooses, for each transporter, what happens at the limit: a manager can allow it, or no credit, cash only. With cash only, the light is red, "No credit", and says "You can fill for cash."

Khata Kavach does not set your "how far over" figure, and the fill form has no box for the reason. Ask the manager to tell the owner.

See the light at the nozzle for every screen, how to set a limit for the rule behind it, and the owner's daily credit check for the same-day review.

Questions people ask

01Can the nozzle man also approve the fill?

He should not. In Khata Kavach an owner or a manager types the PIN on the nozzle man's phone. Nozzle men cannot.

02Does one manager's PIN cover the whole day?

No. One PIN allows one fill. The PIN is asked again for the next fill past the limit.

03Does the PIN work when the pump has no signal?

Yes, once the app has been opened with internet. The nozzle man's phone checks the PIN itself.

04Limit cross ho gayi, kya udhar rok dena chahiye?

That is the owner's rule, not the nozzle man's. For a transporter who must never pass the limit, the owner can choose cash only. The light is then red at the limit, not amber.

05Does the transporter see an override?

Yes. The same line shows in the Transporter app marked as over the limit, with the name of who allowed it.

What Khata Kavach is. Khata Kavach records credit fills, bills and payments between a petrol pump and its customers. It never lends money and never holds anyone's money: it is not a bank, a lender or a payment service. A Khata Kavach bill is not a GST tax invoice.
