How old is your udhar? Ageing in plain words, with a worked example

Short answer

Ageing splits a transporter's balance by how long each part has been owed: 0 to 15 days, 16 to 30, 31 to 60 and over 60. Old money matters more than total money, because Rs 1,25,000 owed can be a week old or four months old and the total looks the same. Look at each transporter's bands once a month and act by band.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

What ageing is

This page is for a petrol pump whose regular transporters take diesel on credit.

Ageing is how long each part of a transporter's balance has been owed. Count the days from the fill (or the bill) to today. Then match the bands to your credit period: if you gave 30 days, the first two bands are still inside the agreed time, and the 31 to 60 band is late.

The four bands

BandRiskWhat to do
0 to 15 daysLowNothing. Check that the bill went out.
16 to 30 daysWatchIf your agreed days are over, one polite message with the amount and a date. See reminder messages.
31 to 60 daysHighCall. Ask for a date or agree part payments. Hold new credit until a date is agreed.
Over 60 daysHighestStop new credit. Send a written demand. Check the time limit.

A made-up example

Made-up pump, made-up figures. Gupta Transport owes Sharma Fuels Rs 1,25,000 for diesel.

BandOwed nowAfter Rs 20,000 paid against the oldest fills
0 to 15 daysRs 40,000Rs 40,000
16 to 30 daysRs 35,000Rs 35,000
31 to 60 daysRs 30,000Rs 30,000
Over 60 daysRs 20,000Rs 0
TotalRs 1,25,000Rs 1,05,000

Rs 50,000 of the Rs 1,25,000 (30,000 + 20,000) is older than 30 days. The total alone does not show that. Sharma Fuels asks for the over-60 money first, and the oldest band is gone once Rs 20,000 is counted against it.

Why old money matters more

The older a fill, the harder it is to settle what was filled and what was paid. Old money also needs a look at the time limit. A transporter with a large total that is all under 15 days old needs no chasing. A smaller total that is all over 60 days old does.

In Khata Kavach

When a transporter's balance sits in more than one band, his page shows how old it is, in these same four bands. The Today screen lists transporters who are near or past their limit. See the owner's Today screen.

Questions people ask

01What does an ageing report mean?

It is a list of what each transporter owes, split into age bands like the table above. Accountants call it debtors ageing. For a pump, one page per transporter is enough.

02Does ageing count from the bill date or the fill date?

Either, if you use the same one every time. The fill date is stricter, because the diesel went into the truck that day. Khata Kavach puts a date on every fill, bill and payment.

03Overdue payment days: how late is too late?

That is your rule, set before the next credit fill. For example, stop new credit at 30 days past the due day. See when to stop credit.

04Bakaya kitna purana hai, kaise dekhein?

Write the fill date beside each amount and add the amounts up by band, as in the example. In Khata Kavach, open the transporter's page and look at how old the balance is.
