The problem: the total reaches you at month end
Your drivers fill diesel on your account. If you see the total only when the bill arrives, a fill from three weeks ago is hard to check.
What to ask your pump to show you
- Each fill: the day and the truck number.
- The litres and the rupees for each.
- Who filled it.
- A photo or a slip number.
- Your balance and your limit.
The Transporter app shows these in the same line the pump wrote, as soon as the pump's phone is online.
Send a request for each truck
In the Transporter app:
- Tap "Send requests". The screen asks: "Which trucks need fuel today?"
- Pick all your trucks, or yesterday's trucks and litres in one tap, or search by truck number.
- Say how much: the screen asks "How much to fill?" You can answer in litres, in rupees, or full tank.
- Check how long the request stays valid. It is today unless you change it.
- Send. Many trucks go in one batch.
No request, no credit by default: the light at the nozzle shows "No credit" and the nozzle man can fill for cash. Made a mistake? Cancel the request before the truck fills, or take back all of them right after sending. Once the fuel is filled, the request is used and cannot be cancelled.
What you see afterwards
The home screen shows how much credit you have left and what you owe. Open your account to see every line, newest first. Open a line to see the litres, rupees, time, who filled, who allowed it if a manager used a PIN, and the photo. The bills tab lists each bill. A bill shows a pay-by-UPI button if the pump added a UPI ID. It opens your own UPI app, and the money goes from your bank to the pump. Tell the pump, who records it.
How you start
The pump adds you with your name, mobile number and limit, and sends an invite link on WhatsApp. You read the terms and agree. The limit is the pump's decision. The app keeps the record and never lends or holds money. See the Transporter app and how requests work. A registered micro or small transporter that supplies services to a larger firm may also have a payment-time rule on its side: see the MSME 45-day rule.
Questions people ask
01How do I track diesel expense for each truck?
Every line carries a truck number, so your account shows what each truck filled on credit. It records credit bought from pumps that use Khata Kavach. It is not a trip book or a full fleet-expense tool.
02My drivers fill at two pumps. Do I need two logins?
No. One login works for all, because you are identified by your mobile number. Each pump sets its own limit, and the pumps never see each other's figures.
03What if a driver fills more than I requested?
The line is marked as more than requested in your account, and the pump's owner sees it too. Other marks you may see are no request, over the limit, and a second fill for the same truck within 2 hours.
04What if the nozzle man typed the wrong amount?
The pump corrects it with a reason. The old line stays, struck out, and a new line is added, so you can see what changed.
05Do I need internet to send requests?
Yes. A request goes out as soon as your phone is online.
