Petrol pump credit management: diesel on credit to transporters

Short answer

Give diesel on credit with six rules: credit only to regular transporters you know, a limit in rupees, a request from the transporter before each truck fills (the default in Khata Kavach), a record of every fill (truck, litres, rupees, who filled, time, photo or slip), a bill on fixed days, and a stop when an old balance stays unpaid. Khata Kavach runs the request, the limit check and the record at the nozzle. It keeps the credit account, not the pump's own accounts.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

Petrol, diesel and GST

Petrol and diesel are outside GST Finance Ministry reply, Rajya Sabha, 21 Jul 2026. State VAT and central excise apply instead. For the bill rules in your state, ask a chartered accountant. The Khata Kavach bill is a numbered bill, not a GST tax invoice.

How it runs at the nozzle

  1. By default, the transporter sends a request for each truck from the Transporter app: litres, rupees or a full tank.
  2. At the nozzle, the nozzle man types the last 4 digits of the truck number and sees a light. Green says "You can fill" and shows how much credit is left. Amber says "Call the manager" and asks for a manager's PIN. Red says "No credit": fill for cash.
  3. The nozzle man types the litres and the rupees off the dispenser, adds a photo if he wants, and taps Done.
  4. Both sides see the line once the phone is online. The owner's Today screen shows credit given today.
  5. Make a bill in a tap and send it from your own WhatsApp, with a UPI QR if you added your UPI ID. When money is received, type it in. That much credit opens up again.

For example (made-up): Sharma Fuels gives Gupta Transport a limit of Rs 2,25,000, and Rs 85,000 is owed. Gupta Transport sends a request for truck UP00 SH 1006. The nozzle man types 1006, sees green with Rs 1,40,000 of credit left, and types 250 litres and Rs 22,500 off the dispenser. Credit left falls to Rs 1,17,500.

Khata Kavach never lends and never holds money. The transporter pays you directly. It does not replace the pump's own accounts or connect to the dispenser. It does not connect to any oil company's system, and it is not connected with any oil company.

Questions people ask

01Can Khata Kavach do my petrol pump ka hisab kitab?

It keeps the credit account: credit fills, money received and bills for each customer. It does not track stock, nozzle readings, shifts or cash sales. Keep your pump software or books for those.

02What if a truck comes with no request?

By default the light is red, "No credit", and the nozzle man can fill for cash. For chosen transporters, the owner can let a manager's PIN allow a fill with no request. That fill is then marked, and the transporter sees the mark.

03What if the transporter's limit is full?

The light is amber and a manager types a PIN for that one fill, or it is red and cash only. The owner picks which, transporter by transporter, and each override is marked on the fill.

04Does the nozzle need internet?

No signal at the nozzle is fine once the app has been opened with internet at least once. The fill is saved on the phone and sent when it is online. The owner's screens do need internet.
