The owner's daily credit check: what to look at each day

Short answer

Each day, look at six things: credit given today, money received, who is near or past the limit, any fill allowed past the limit or without a request, any fill that looks wrong, and who to call today. A short routine beats a long monthly review, because a mistake caught the same week is easy to ask about. Khata Kavach's Today screen lays most of them out on one page.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

The six daily checks

Aim for a short routine at the same time every day. Write down two or three names to call.

What to look atWhyWhat to do
Credit given todayShows how much went out, and in how many fillsIf it is far above a usual day, open the fills and see why
Money receivedShows whether money comes in as fast as credit goes outRecord any payment you received, with how it was paid
Near or past the limitThese customers have little room leftAsk for payment, or decide the limit afresh
Fills allowed past the limit, or with no requestShows who allowed it and whyAsk that manager. Check the reason makes sense
Fills that look wrongLitres above the request, rupees that do not match the litres, a late entryCall the nozzle man. If the line is wrong, correct it with a reason
Who to call todayTurns the list into actionCall those you picked, in person or on WhatsApp

For example (made-up): a customer's limit is Rs 10,00,000 and Rs 8,40,000 is owed. 80 percent of the limit is Rs 8,00,000, so this customer is near the limit.

How Khata Kavach's Today screen shows these

The owner and managers open Today in the Pump app.

  • Credit given today, with the number of fills.
  • This month: credit given, money received, and what is still owed. Money received is shown for the month, not for the day.
  • Due on bills, with how many are past due.
  • Near or past the limit: customers at 80 percent of the limit or more. Each has a button that opens your own WhatsApp with a message asking for payment, ready. You press send.
  • Fills that look wrong: fills marked in the last 7 days, such as over the limit, no request, more than requested, or arrived late. A fill that a manager allowed with a PIN shows that manager's name.

Tap a customer to see how old their balance is, in four bands. See ageing explained. To work through each screen, read the owner's Today screen. A marked fill that turns out wrong is settled as in a disputed credit fill.

Questions people ask

01Who should do the daily check, the owner or a manager?

Either. Owners and managers both see the Today screen. Nozzle men never do. Decide one name, so the check does not get skipped because each of you thinks the other did it.

02What if I miss a day?

The list of fills that look wrong shows marked fills from the last 7 days (up to 50), so a missed day does not drop off at once. Customers stay on the near-the-limit list while they are at 80 percent of the limit or more.

03Does the check need internet?

Yes. The Today screen is an owner screen and needs internet. The nozzle side is the part that works with no signal.

04I still keep a paper register. Does this checklist apply?

Yes, the same questions apply. You add up credit given, money received and each balance yourself, and you note the limits and odd fills by hand.

05Udhar ka roz ka hisab kaise dekhe?

Go down the six checks in the table once a day, at the same time. Khata Kavach's Today screen gathers credit given, the month's money received, who is near the limit and which fills look wrong in one place.

What Khata Kavach is. Khata Kavach records credit fills, bills and payments between a petrol pump and its customers. It never lends money and never holds anyone's money: it is not a bank, a lender or a payment service. A Khata Kavach bill is not a GST tax invoice.
