A driver fills on your customer's credit: what the pump needs

Short answer

When a driver fills on a transporter's credit, three people are involved: the transporter who owes, the driver at the nozzle, and your nozzle man. The nozzle man needs the transporter's say-so for that truck today, a cap on litres or rupees, and a record the transporter can see. In Khata Kavach the transporter sends a request for each truck, matched at the nozzle by the last 4 digits of the truck number, so the nozzle man goes by that request, not by the driver's word.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

This page is for a petrol pump whose regular customers send drivers to fill their trucks on credit.

Three people, one fill

The transporter owes the money. The driver stands at your nozzle. Your nozzle man fills one truck after another and cannot phone the transporter for each.

WhoWhere it slips
TransporterMay find out what each truck took only when your bill comes
DriverAsks for a full tank when the transporter meant Rs 5,000
Your nozzle manCannot tell what the transporter meant for this truck today

What each side needs

You need four things:

  1. The transporter's say-so for that truck, today.
  2. A cap: litres, a rupee amount, or a full tank.
  3. A record the transporter also sees: truck number, litres, rupees, who filled, time, and a photo if you add one.
  4. A rule for a truck that is not on the transporter's list.

The transporter needs one thing: to see what each fill took, on his own phone, as soon as it is online.

How a request does this

The transporter sends it from his own phone, one per truck: litres, rupees, or a full tank. At the nozzle, the nozzle man types the last 4 digits of the truck number. He then sees a light: green "You can fill" when the truck has a request; red "No credit" when there is no request ("You can fill for cash") or the truck is not on the list. The fill shows on the transporter's phone with the nozzle man's name. If he types more than was requested, the line carries a mark, and the transporter sees it.

For example (made-up): Sharma Roadlines sends a request for truck UP00 SH 1005, 200 litres. The driver pulls in, the nozzle man types 1005 and sees green. He fills 200 litres at Rs 90 a litre, Rs 18,000, and types both figures off the dispenser. Both phones show the line. See transporter requests and the light at the nozzle. If a quantity is questioned later, follow a disputed credit fill.

Questions people ask

01What if the driver says the owner told him to fill more?

The nozzle man goes by what the transporter sent. A request cannot be edited, so the transporter cancels it and sends a new one. For chosen transporters, the owner can let a manager's PIN allow a fill with no request.

02Does the driver need the Khata Kavach app?

No. The transporter sends the request from his own phone. The driver brings the truck, and the nozzle man types the last 4 digits of its number.

03What if a truck is not on the list?

The light is red and the screen says the truck is not on the pump's list. The nozzle man can fill for cash. The transporter, or an owner or manager, adds the truck number.

04What if the same truck comes twice in one day?

One request covers one fill. A second fill for the same truck within 2 hours is marked, and the transporter sees the mark too.
