An optional photo with a credit fill: what it is and what it does

Short answer

On the fill screen, the nozzle man can add one photo to a credit fill: the number plate or the slip. It is optional. The fill never waits for the photo, and both the pump and the transporter see it on the fill's line. It gives both sides a quick answer when a fill is questioned. Khata Kavach does not call it legal proof.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

How the nozzle man adds a photo

  1. Type the last 4 digits of the truck number and see the green light, "You can fill".
  2. Type the rupees off the dispenser; the litres fill in at the day's rate.
  3. Tap the photo button and take a picture of the number plate or the slip, or pick one from the phone. The photo goes with the fill.
  4. Tap Done.

The fill is saved on the phone first, so it never waits for the picture. The photo follows after the fill is sent. In the list of today's fills, each one shows whether it has a photo and whether it has been sent.

The photo button is in the Pump app, in the phone's browser.

Who sees the photo

WhoWhere they see it
The nozzle manHis own fills for today.
Owner and managersOn the fill's line in the transporter's ledger.
The transporterOn the fill's detail, with the fuel, litres, rupees, time and who filled.

A transporter sees only the photos of his own fills.

What it helps with

When a transporter or a driver asks "what exactly went in?", both sides can open the same line and look. The line shows the fuel, litres, rupees, time, who filled, and the truck number. With a photo, there is a picture beside the figures.

Note: A photo makes a fill easier to question and answer. It does not stop a wrong fill. A wrong fill shows up on both phones, with the name of who filled.

A photo is kept with its fill for as long as the pump's account stays open. See what to do when a fill is disputed.

Questions people ask

01Is the photo compulsory for a credit fill?

No. It is optional on every fill, and the fill can be saved without one.

02What should the photo show?

That is the pump's choice: the number plate or the slip. Khata Kavach does not read or check the photo. People look at it.

03Does the photo work with no signal?

Yes. The photo stays on the phone and goes after its fill when the phone is online. If its fill cannot be sent for a long time, the photo is dropped and the fill stays.

04Does the app ask for my location or contacts?

The photo button lets the nozzle man take or pick a picture. A transporter sees only the photos of his own fills. The apps' privacy page lists what is collected.

05Is a photo proof in court?

We do not claim that. The photo is kept with the fill's line, so both sides have a clear record to show if they ever need it. Whether it counts in a dispute is for an advocate and a court to say.
