How to keep an udhar khata: a format to copy, on paper or phone

Short answer

Give each customer one page. Every credit line shows the date and time, truck number, litres, rupees and who filled. Every payment line shows the amount, how it was paid and which bill it clears. Never overwrite: strike a wrong line out and write a new one with the reason. Keep a running balance and share a statement each month.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

One page for each customer

An udhar khata (udhar ka hisab) only works if each customer has his own page and every line is written when the fuel goes in. A credit line needs the columns below.

What every credit line shows

ColumnWhat to write
Date and timeWhen the truck filled
TruckThe number plate
Fuel and litresDiesel or petrol, and how many litres
Rupees givenThe value of the fill
Who filledThe nozzle man
Slip number or photoSomething you can point to later
BalanceThe line above, plus this fill

What every payment line shows

The amount, how it was paid (cash, UPI, bank, cheque), the UTR (the bank's transaction number) or cheque number, the date, and which bill it clears. Then the new balance.

Never overwrite

Strike a wrong line through and write the correct one below it, with a reason. The old line stays, so anyone reading the page can see what changed.

An example page

Example: a made-up business with made-up figures. It is not a real customer.

The page of a made-up customer, Sharma Roadlines. The 12 October line was written against the wrong truck, so it is struck out (shown as a minus) and written again.

DateEntryTruckFuelGiven (Rs)Received (Rs)Balance (Rs)
2 OctFill, slip 114UP00 SH 1005Diesel 200 L18,00018,000
5 OctFill, slip 121UP00 SH 1005Diesel 150 L13,50031,500

12 OctFill, slip 130UP00 SH 1006Diesel 100 L9,00020,500
12 OctStruck out, wrong truckUP00 SH 1006Diesel 100 L-9,00011,500
12 OctFill, slip 130UP00 SH 1005Diesel 100 L9,00020,500

At month end, copy the page and give the customer a statement.

How a shared book changes it

On paper, the page stays with you. In Khata Kavach the transporter's phone shows each line as soon as it is online: the fill you entered, who filled, and the slip number and photo if the nozzle man added them. A correction appears as a struck-out line plus a new one, as above. The nozzle man types what was filled, and the owner's screen shows credit given, money received and what is still owed. See how a wrong entry is corrected and what the customer sees.

Questions people ask

01Udhar khata kaise likhe? (How do I write an udhar khata?)

Draw one page per customer with columns for date, entry, truck number, fuel and litres, rupees given, rupees received and balance. Write each fill when it happens, not at night.

02Can I keep an udhar khata in Excel (udhar khata excel sheet)?

Yes. Use the same columns, or download the free udhar khata format, which works out each customer's balance for you.

03What is the udhar khata format?

One page per customer, with columns for date, entry, truck number, fuel and litres, rupees given, rupees received and balance. The table below shows it, with a made-up example.

04Udhar ka hisab kaise rakhe?

Give each customer a page, write each fill when it happens, never overwrite, and keep a running balance. A shared book such as Khata Kavach does the same on a phone.

05How do I carry over the balance from my old book?

Write the old balance as the first line of the customer's new page and carry on from there. When you add a transporter, Khata Kavach has an optional box for the balance from the paper book.

06Can the customer see the khata in Khata Kavach?

Yes. The Transporter app shows every line, newest first, with who filled, and the slip number and photo if the nozzle man added them.

About Khata Kavach (advertisement)

Khata Kavach is a shared credit book for petrol pumps, from MDG Services. The transporter asks before each truck fills, your nozzle man sees the limit before he fills, and both of you see every fill, payment and bill. It never lends or holds money.

About this page. This page is general information published by MDG Services, a brand of VRUOOM PRIVATE LIMITED (CIN U29194HR2021PTC098450), the company that makes Khata Kavach. It is free to read and needs no sign-up.

We make one of the apps. Where a page compares Khata Kavach with another app or another way of keeping credit, remember that we make Khata Kavach. We compare like with like, use only facts the other company publishes, and say plainly where another app does more.

Other companies' names. Khatabook, OkCredit, Vyapar, myBillBook and every other product or company named here belong to their owners. We name them only to say which product a fact is about. We have no connection with them, and they have not seen or approved these pages.

Facts about other apps. Facts about other apps come from their own websites, help pages and app store listings, on the date shown as "facts checked on". Apps change their features and prices often. Check the app's own website before you decide, and tell us if anything here is out of date: we will correct it.

Not legal, tax or financial advice. Pages about getting paid, notices, interest, courts or tax explain the general position in India on the date shown. Laws and rules change, and every case is different. For your own case, speak to an advocate or a chartered accountant.

Examples are made up. The pumps, transporters, vehicles and amounts in examples are made up, and so is the data on the app screens shown. No example describes a real customer or a real result.

What Khata Kavach is. Khata Kavach records credit fills, bills and payments between a petrol pump and its customers. It never lends money and never holds anyone's money: it is not a bank, a lender or a payment service. A Khata Kavach bill is not a GST tax invoice.
