Udhar khata app: how to choose one, in nine questions

Short answer

To choose an udhar khata app, ask nine things before you install: does the transporter see each fill, who can enter a fill, is there a limit and who can go past it, does it work with no signal, can you add a photo to a fill, is the bill plain or a GST tax invoice, does the company lend or handle money, which languages, and what is free and what costs. No app is right for every pump. Your answers decide.

MDG Services makes Khata Kavach, so this page comes from the maker of one of the apps it may mention. It is general information, not legal, tax or financial advice. Facts about other apps are taken from their own websites and app listings on the date shown and can change, so check them there before you decide.

Nine questions to ask before you install

This page is for a petrol pump that gives diesel to regular customers such as transporters on credit, not for a loan to a friend. Ask each question of every app. The answer is on the app's own website or store listing; if you cannot find it, ask the company.

#AskWhy it matters
1Does the transporter see each entry? Can he ask before the truck fills? Both sides then work from the same line.
2Who can enter a fill?Nozzle men need their own sign-in, not the owner's login.
3Is there a limit per customer? Who can go past it?A limit helps if it is checked before the fuel goes in and an override is visible.
4Does it work with no signal?Forecourts lose signal. Ask which screens still work.
5Can you add a photo to a fill?It gives you something to look at later.
6Is the bill plain, or a GST tax invoice? If you must issue GST invoices, you need an app that makes them, or a second one.
7Does the company lend or handle money?Does it only keep the record, or also offer loans or settle payments?
8Which languages?Your nozzle men and transporters use it all day.
9What does it cost, and what is free?Look for ads, message charges, extra phones and plan limits.

What each kind is good for

  • Paper, a register or Excel: no phone, no training. See paper khata or an app.
  • Ledger apps such as Khatabook and OkCredit: an everyday khata, reminders, bills, many languages.
  • Billing apps such as Vyapar and myBillBook: GST invoices, stock and accounts.
  • A shared credit book: regular transporters who fill diesel on credit. See ledger app or shared credit book.

Khata Kavach's answers

Khata Kavach is our own app, for petrol pumps only. The transporter sees every fill in his own app and, by default, sends a request first, one per truck. Staff sign in with a 4-digit PIN. The limit is checked at the nozzle, and by default a manager's PIN is needed past it. It works at the nozzle with no signal, once the app has been opened with internet. A fill can carry a photo. The bill is a numbered bill, not a GST tax invoice. It never lends and never holds money. Hindi first, English one tap away. For the price, call us. Both apps open in the phone's browser today; Android apps are coming to Google Play.

Questions people ask

01Which is the best udhar khata app (udhar ka hisab rakhne wala app) for my petrol pump?

No app is best for every pump. A pump that mostly sells for cash, a pump that needs GST invoices and a pump with regular transporters on credit need different things. Answer the nine questions, then compare two or three apps.

02What is a digital udhar khata?

It is the khata book on a phone: each credit fill and payment is a line, and the balance is worked out. Some apps also show the lines to the customer, set limits or make bills.

03Is a free udhar khata app enough?

It can be. Check what the free plan covers, whether it shows ads, and what messages, bills or extra phones cost. Each app's own pricing page is the place to check.

About Khata Kavach (advertisement)

Khata Kavach is a shared credit book for petrol pumps, from MDG Services. The transporter asks before each truck fills, your nozzle man sees the limit before he fills, and both of you see every fill, payment and bill. It never lends or holds money.

About this page. This page is general information published by MDG Services, a brand of VRUOOM PRIVATE LIMITED (CIN U29194HR2021PTC098450), the company that makes Khata Kavach. It is free to read and needs no sign-up.

We make one of the apps. Where a page compares Khata Kavach with another app or another way of keeping credit, remember that we make Khata Kavach. We compare like with like, use only facts the other company publishes, and say plainly where another app does more.

Other companies' names. Khatabook, OkCredit, Vyapar, myBillBook and every other product or company named here belong to their owners. We name them only to say which product a fact is about. We have no connection with them, and they have not seen or approved these pages.

Facts about other apps. Facts about other apps come from their own websites, help pages and app store listings, on the date shown as "facts checked on". Apps change their features and prices often. Not legal, tax or financial advice. Pages about getting paid, notices, interest, courts or tax explain the general position in India on the date shown. Laws and rules change, and every case is different. For your own case, speak to an advocate or a chartered accountant.

Examples are made up. The pumps, transporters, vehicles and amounts in examples are made up, and so is the data on the app screens shown. No example describes a real customer or a real result.

What Khata Kavach is. Khata Kavach records credit fills, bills and payments between a petrol pump and its customers. It never lends money and never holds anyone's money: it is not a bank, a lender or a payment service. A Khata Kavach bill is not a GST tax invoice.
