Density register and daily stock register format: PDF and Excel

Short answer

Download our own working formats for the two registers the Marketing Discipline Guidelines 2024 (MDG 2024) name: a density register and a daily stock register, each as an A4 PDF to print and as an Excel file, with English or Hindi headings. They record what MDG asks for MDG 1.2(xiv) MDG 1.3 MDG 1.4.1(b) MDG 1.4.1(c). They are not an oil company form: MDG says the company supplies the daily stock register MDG 1.3(ii) and attaches its own density format as Annexure 1 MDG Annexure 1. Use those first, and ask your oil company whether it accepts ours.

The Marketing Discipline Guidelines 2024 (MDG 2024) are the oil companies' rules for their dealers, and bind dealers through the dealership agreement. This page is a plain-language explanation by MDG Services (a brand of VRUOOM Private Limited). It is not the official text and is not connected with or approved by IndianOil, BPCL, HPCL or any government body, so please check the current guidelines and circulars on the oil companies' own websites and with your oil company officer before you act.

Checked against the Marketing Discipline Guidelines 2024 (Ver. 1, effective 24.10.2024) on 26 October 2026. Published by MDG Services on 26 October 2026.

Two registers a pump fills in every day, ready to print or to type into. Your oil company's own register comes first: this is a working format.

What each register records

RegisterWhat goes inClause
DensityThe morning density at 15°C, written before the first sale and by 10 AMMDG 1.4.1(c) MDG 5.1.9
DensityEach tanker compartment's density and temperature, and the invoice's 15°C density; the gap should be within ±3.0MDG 1.2(viii) MDG 1.2(iv)
DensityThe 15°C density of the mixed product, after at least 50 litres have gone through the pumpMDG 1.2(xiv)
StockEach tank's product dip and water dip, and the pump meter readings, every morningMDG 1.3 MDG 1.4.1(b)
StockThe litres used to test each nozzle, and the entries after each tankerMDG 1.4.2(d) MDG 1.2(xiii)
StockThe stock check: opening dip stock plus receipts, less sales by meter, against the closing dipMDG Annexure 9 MDG 5.1.11

What the Excel files do

  • Density sheet: one line for every reading. It works out the gap from the invoice and says OK or OUT for the 3.0 limit, and OK or LATE for the 10 AM morning reading. You type the density at 15°C from the printed ASTM table; the sheet never converts it. The 15°C calculator is a helper only.
  • Stock sheets: one sheet for petrol and one for diesel, a line for every day, up to 3 tanks and 8 nozzles. A Tankers sheet adds the day's receipts by itself. Grey columns work out sales by meter, book stock, closing stock, the variation and 4% of closing stock. A water dip above 0 turns red.
  • Yellow cells are for typing, grey cells are formulas, and the files start empty. If Excel shows a yellow Protected View bar, press Enable Editing.

Before you use them

  • Company register first. MDG says the oil company supplies the daily stock register MDG 1.3(ii) and prints no form for it. For density, MDG attaches its own format MDG Annexure 1. Ask your oil company whether it accepts our layout, or copy the readings into its form.
  • Over 4% is not a finding. MDG also counts handling loss on sales, and shrinkage or TVA where they apply MDG 5.1.11. Use the stock variation calculator. The oil company must establish an irregularity before it acts MDG 8.5.2.
  • Missing records cost. Not keeping the specified records is an irregularity MDG 5.1.12. See the records to keep, the density register rules and the daily stock register rules.
  • Check your own figures. Nothing you type into these files is sent anywhere.

Questions dealers ask

01Where can I download a density register PDF for a petrol pump?

Use the links on this page: an A4 PDF in English or Hindi, and an Excel file of the same register. It is our own layout, not the format MDG attaches as Annexure 1 MDG 1.2(xiv) MDG Annexure 1, so ask your oil company whether it accepts it.

02What is the density register format for a petrol pump?

MDG 2024 says density records follow its Annexure 1 format: the date, the morning reading, each tanker compartment's reading, the invoice density at 15°C and the 15°C density after decanting MDG 1.2(xiv) MDG Annexure 1. Ours records the same readings, one line for each.

03Is there a daily stock register format (DSR format) for a petrol pump in Excel?

MDG 2024 prints no stock register form and does not mention a spreadsheet; the oil company supplies the register MDG 1.3(ii). DSR is the trade's short name for the daily stock register, not an MDG term. Our Excel file is a working copy that does the stock sums: ask your oil company whether a spreadsheet copy is acceptable.

04Does the Excel stock register work out the stock variation?

Yes, by the method of Annexure 9: opening stock by dip, plus receipts, less sales by meter, compared with the closing dip stock and with 4% of it MDG Annexure 9 MDG 5.1.11. It does not count handling loss, so a result over 4% is not yet a finding.

05How long must a petrol pump keep these registers?

The density register and the daily sales register are kept for this financial year and the one before MDG 5.1.12. MDG does not say whether the daily sales register is the stock register, so ask your oil company.
